Navigating the contact list

All your contacts live in your heyhey dashboard under Contacts → All contacts. Everyone who signed up through a form, was imported from a file or was added by hand appears on this one list.

Tabs are your first filter

Above the rows are six tabs, each with a live counter:

  • All: every contact in your account.
  • Customers: contacts whose lifecycle status is Customer.
  • Subscribed: contacts who can receive marketing emails.
  • Pending: people asked to confirm their address who haven’t clicked the link yet. See How forms on your pages collect leads.
  • Inactive: no recorded activity for more than 90 days.
  • Bounced: addresses that messages could not be delivered to.

The counters take into account whatever you’re currently typing in the search box, so the labels always match the rows on screen.

Search and sort

Search covers name, email and phone. Type into the search box and press Enter. Next to it, the Sort button opens a small panel with five options: Recently added, Last activity, Name A–Z, Name Z–A and Date added (oldest).

What the columns mean

Each row shows an avatar, then Name and email, Tags, Status and Last activity.

  • The coloured dot next to the email address is the marketing status: green means Subscribed, purple Pending confirmation, grey Unconfirmed, amber Unsubscribed, and red Bounced or Spam.
  • The Tags column shows up to three tags. See Tags vs lists: when to use which.
  • Status is the lifecycle label: Lead or Customer.
  • Last activity is a relative time, updated whenever the contact does something you track.

At the bottom of the list you can change how many rows are visible: 25, 50, 75 or 100.

Bulk actions

Tick the checkboxes next to the rows you want, or the checkbox in the table header to select everything visible. A dark bar slides up from the bottom with three actions: Add tag, Set status (Subscribed, Unsubscribed or Bounced) and Delete. Deleting always asks you to confirm first.

Adding a contact by hand

The Add contact button opens a short form: Email (required), Name, Phone and Marketing status. Save it and you land straight on the new contact’s profile.
